Privacy policy

This policy explains how Viet Nordic handles personal data when you ask about or rent a car, or visit this website, under the EU General Data Protection Regulation (GDPR) and Finnish data protection law.

1. Controller

2. Data we process

• When you ask about a car by phone, WhatsApp, Zalo, email or the form: your name, contact details, the car and dates you want, and your trip plans and delivery address if you give them.
• When you rent a car: the details the rental agreement needs, such as your name, driving licence, identity document and payment details.
• When you visit the website: the server keeps technical logs with your IP address, the time, the page requested and browser details.

The contact form on this website stores nothing: it opens WhatsApp or your email app with your message, and you decide whether to send it. The website uses no analytics, advertising or third-party embeds, and sets no cookies for visitors (see the Cookie policy).

3. Purposes and legal bases

• Advice, quotes, bookings and carrying out the rental agreement: necessary for a contract or for steps you ask for before one (GDPR Article 6(1)(b)).
• Bookkeeping, insurance and other statutory duties: compliance with a legal obligation (Article 6(1)(c)).
• Handling damage, accidents or traffic offences involving a rental car, and running and securing the website: our legitimate interest (Article 6(1)(f)).

4. How long we keep data

Enquiries are kept as long as needed to answer you, and rental agreement details as long as needed to carry out the agreement and handle any complaints. Accounting records are kept for the periods set by the Finnish Accounting Act. Server logs are kept only briefly for security and troubleshooting, and are then deleted automatically.

5. Recipients

Maxspell hosts and runs the website and processes data on our instructions. Messages you send on WhatsApp pass through WhatsApp (Meta) and messages on Zalo through Zalo (VNG), under each service’s privacy policy; email passes through the email providers involved. When needed, we share details with an insurer or the authorities, for example after damage, an accident or a traffic fine. We do not sell data or share it for marketing.

6. Transfers outside the EU/EEA

We do not transfer data outside the EU/EEA ourselves. WhatsApp may process data outside the EU/EEA under the safeguards described in its policy. Zalo is run by a Vietnamese company, so messages you send on Zalo are processed outside the EU/EEA under Zalo’s terms; if you prefer otherwise, contact us by phone, WhatsApp or email.

7. Your rights

You can ask to access, correct or erase your data, restrict its processing, object to processing based on legitimate interest, and receive the data you gave us in a common format. Contact us: +358 41 471 7786, [email protected].

8. Right to complain

If you think your data is processed unlawfully, you can complain to the Office of the Data Protection Ombudsman in Finland, tietosuoja.fi.

9. Changes

We may update this policy. The latest version is always on this page.
